Conflux processes personal data of visitors to its websites, visitors to events organized by Conflux, and individuals who are qualified as potential future candidates with great care and strict confidentiality, in line with the General Data Protection Regulation (GDPR).

Collection, processing and use of personal data

Conflux collects and processes personal data only insofar as this is necessary for:

• Organizing events in an appropriate manner

• Recruiting and selecting new personnel

• Maintaining and expanding business relationships

The personal data that may be processed in this context includes, among other things, information from CVs and LinkedIn profiles, correspondence via e-mail, and interview notes from application or introductory meetings prepared by colleagues.

Conflux may use the available personal data to contact individuals by telephone or e-mail, or to approach individuals personally for the purpose of:

• Informing and inviting contacts to events

• Informing individuals about current job vacancies

• Sending newsletters and/or press releases to contacts

• Maintaining and expanding business relationships

Use of HubSpot

For our marketing, communication and CRM activities, Conflux uses HubSpot, a service provided by HubSpot Inc. (25 First Street, Cambridge, MA 02141 USA). HubSpot supports us in managing contact data, sending e-mails, organizing events, tracking interactions and optimizing our website and communication.

HubSpot processes personal data on behalf of Conflux as a processor within the meaning of Article 28 GDPR. A data processing agreement has been concluded with HubSpot in which appropriate safeguards are established for the protection of personal data. The data may be stored on servers in the United States. HubSpot complies with the EU-US Data Privacy Framework, which provides an adequate level of protection for the transfer of personal data outside the EU.

Retention period of personal data

When Conflux enters into a relationship, it is generally a long-term relationship. Because we believe that a relationship should be reciprocal in the long term, we store personal data for a period of one year. After this, we request permission to retain the data for an additional twelve months for the purposes described above.

Conflux handles personal data carefully and stores it securely until a request is made for the personal data to be deleted, permission for extending the retention period is not granted, or Conflux decides to remove this personal data from its records.

Security of personal data

Conflux employees take careful responsibility for the personal data under their management and are bound by an obligation of confidentiality regarding confidential information. Conflux uses technical and organizational security measures to protect the personal data being processed as effectively as possible against breaches. Our security measures are continuously monitored, evaluated and improved where necessary. In the event of a data breach, affected individuals will be informed and a report will be made to the relevant authorities.

Rights of data subjects

Right of access
Individuals whose personal data is being processed have the right to access the personal data Conflux processes about them.

Right to rectification or deletion
If personal data is incorrect or has changed, Conflux will correct it upon request. If an individual requests deletion, Conflux will honor this request and remove the relevant data from all records. Data subjects will be informed of this.

Withdrawal of consent, right to object, restriction and data portability
Individuals may object to the processing of their personal data. They also have the right to restrict processing and to have their personal data stored by Conflux transferred to another party or processor.

Amendment clause
